Operation Manager

Position Summary: Sticky Rice Travel is a fast-growing, innovative, socially and environmentally conscious travel company. As a part of the team, the Operations Manager is responsible for the distinct operational areas of the business from pre-sales system loading of products and inventory; preparing and dispatching client documentation; managing inventory and working closely with sales department, whilst managing both assignments flow and tour operational issues such as outsourcing to other agents/vendors and overbookings; and, health and safety compliance of product by suppliers.

ESSENTIAL FUNCTION

• Reporting to General Manager & Directors (If first line of reporting unavailable)
• Accountable to manage company's fleet and tour related assets such as vehicles.
• Ensure compliance in all aspects of the tour procedures.
• Communicate on a regular basis and reports any problem, when necessary to the General Manager.
• Manage relationships with other agents/vendors.
• Maintain excellent communication with all departments.
• Manage flow of the tour assignments and assigns, as necessary, job duties to team members.
• Oversees the supervision of guides and fleet captains which includes work allocation and problem resolution.
• Building a dedicated and guest service-oriented team.
• Facilitate information flow by organising and scheduling departmental meetings.
• Ensure sufficient staffing is present to accommodate daily operation schedule.
• Perform other related duties as assigned.
• Maintains and enforces departmental policies and procedures.
• Ensure guest history records and general guest information are recorded.
• Evaluates performance and makes recommendations for personnel actions.
• Maintain good track of records and reports for drivers and guides work schedule, freelance drivers and guides work schedule, fuel consumption, etc
• Attends and develops in all training sessions scheduled by the company.

POSITION REQUIREMENT

• Understanding of tour operations overall management.
• Good command in English Language and Bahasa Malaysia.
• Excellent planning, organizational, interpersonal, communication skills.
• Strong leadership skills to effectively manage and motivate the team to achieve high level of performance.
• Responsible and able to work under pressure.
• Proficiency in MS Office, Outlook, Word, Excel, G-Drive, etc.

GIT SALES MANAGER

Position Summary: Under the supervision of the General Manager, the GIT (Group Independent Travelers) Sales Manager manages and leads the GIT sales consultant team at Sticky Rice Travel. Responsibilities include identifying market opportunities, developing long and short term marketing and sales strategies, and the development of a structured training program for the GIT team. This position must possess excellent leadership, organizational, client servicing, and communication skills.

ESSENTIAL FUNCTION

• Market and sell Sticky Rice Travel programs to overseas agents and partners.
• Develop a marketing strategy for Sticky Rice Travel as a boutique destination management company catering to deluxe and niche groups.
• Client servicing for overseas agents and partners (B2B).
• Revision and renewal of contract rates for agents/partners.
• Encourage visitation to Sticky Rice Travel promoted areas by performing sales and marketing tasks.
• Assist with the expansion and development of GIT sales, including quality control.
• Monitor and assign leads, and supervise all GIT requests and fulfillment.
• Mentor and coach the GIT team in itinerary development, costing, customer service, and brand experience.
• Produce monthly reports and maintain an ongoing training calendar for the GIT team.
• Manage the GIT team using an SOP, work motivation, and KPIs.

POSITION REQUIREMENT

Experience: Minimum of 3-5 years experience in a tourism company catering to an English-speaking market. Employee is expected to have acquired the necessary information and skills to perform the job reasonably well within 3 months of employment.

Education: A college degree or equivalent training and experience in a related field.

Technical Skills: Thorough knowledge of computers and a working knowledge of Microsoft Office - must be able to operate computers with a high degree of efficiency. The ability to read and understand reports, graphs, statistics and written instructions, and strong verbal and written communication and organizational skills are required.

Problem Solving: Problem solving is important, this employee will be expected to advise the GIT team in crisis management with clients and when situations arise within the GIT team.

Decision Making: This employee will make important decisions about prioritizing daily assignments, providing team assistance, scheduling meetings and training sessions.

Supervision: This employee will work independently with limited supervision from the GM as a direct reporting line, and will work closely with the GM and Directors in sales and marketing strategies, including business relationship management with agents and partners.

Financial Accountability: This employee will be accountable for payment approvals of GIT invoices paid to suppliers upon first layer accuracy check by individual travel consultants including itinerary costings, yearly renewals/revision of program prices, including promo prices if applicable.

Personal Relations: Daily contact with GIT team members, weekly contact with the GM and Directors for check-ins and support, and occasional contact with agents and partners is expected for business relationship management.

Working Conditions: This position runs from 9am to 5pm, 5-days a week, out of the Kota Kinabalu office, with occasional domestic and international travel for business relationship development and travel expos. The employee will be provided with a Macbook computer.

DRIVER-GUIDE

Position Summary: Under the supervision of the Driver Team Leader, as a driver-guide, you are to present yourself in a professional manner at all times when imparting information and knowledge of visited areas, including post activity communication when you are guiding. As well be responsible for the safe handling of the company’s vehicle when you are with or without tourist.

This position must possess an enthusiasm towards the outdoors, nature, client servicing, and communication skills.

ESSENTIAL FUNCTION

• Transporting guest on safe and timely manner as per your daily assignment/calendar.
• Maintenance of vehicles - ensures cleanliness, tidiness, serviced as according to schedule, routine inspection of vehicles and submits vehicle reports as necessary to Operations.
• Interaction with guests including providing general information regarding the areas you are guiding through and assisting guests and/or guides in terms of trip flow and logistics.
• Maintaining validity of licenses related to driving.
• Regulating the logbook in each vehicle, making sure that all drivers logging all mileage as per transfers.
• Regulate petty cash for vehicle including usage limitations, submission of receipts, topping up of petty cash as per SOPS.
• Ensure that driving meets within the safety standard of SRT.
• Keep track of renewals for all vehicles including permits, road tax and insurance and highlight to Driver Team Leader where necessary.
• Responsible in making sure vehicle maintenance, servicing and repairs on top condition.
• Practice responsible tourism including advising tourists to do the same.
• Continuously improve your knowledge on rainforests, wildlife and reef including the nature of our business that is centered on responsible tourism and community tourism initiatives.
• Ensure tourists satisfaction and safety.
• Manage logistics - Coordination with drivers and operators, and overlooking the entire trip flow and operations.
• Assume all task delegated by immediate superior or Head of Departments.
• Good knowledge of route of the tours area in Sabah.
• Ensure First Aid Kit is available and supplies are accordingly to the checklist.
• To attend all training plans scheduled by Head of Departments.
• To check the vehicle for any left items by guests, and report to Operations Team.

POSITION REQUIREMENT

Experience: Minimum of 2 years experience in a tourism company catering to an English-speaking market.

Education: Valid TG License, valid driver’s license with PSV.

Technical Skills: Thorough knowledge of computers and a working knowledge of Microsoft Office - must be able to operate computers with a high degree of efficiency. The ability to read and understand reports, graphs, statistics and written instructions, and strong verbal and written communication and organizational skills are required.

Working Conditions: This position runs flexible working hours, based in Sandakan and Lahad Datu.

DRIVER

Position Summary: Under the supervision of the Driver Team Leader, as a driver, you are responsible for the safe handling of the company’s vehicle when you are with or without tourist.

This position must possess an outgoing personality, client servicing, and ability to relate to people of different background.

ESSENTIAL FUNCTION

• Report immediately of any damages on vehicle to the Operations team.
• Good working rapport with Operations Team, Guides and colleagues.

POSITION REQUIREMENT

Experience: Minimum of 2 years experience in a tourism company catering to an English-speaking market.

Education: Valid driver’s license with PSV.
